Athena VMS Workflow Guide

(Customized for user experience)

EQUIPMENT

Visitor Station: Located in front of the security or guest services desk or another designated area. All visitors will be directed to Visitor Tablets for check-in.

Access Control Station: Located with the security team, the Access Control Station Tablet receives, and prints badge requests sent from the Visitor Tablet.

STAR MC-Label3 Printer: Each Access Control Station will have an assigned printer to print the Visitor badges. 




1. The Visitor will walk up to the Kiosk and select ‘Push to Scan’ or manual if they have no license to scan.



2. The Visitor will place their ID in the ID holder barcode facing the camera.


3. Once the ID has been scanned it will take you to the information screen and have the Visitors ID information filled out for them to review.

  • If the Visitor fills out the preferred name that is the name that will be printed on the badge. 
  • Press ‘Continue’


4. It will take you to the ‘Patient you are visiting’ page to fill out the patient's name.

  • Press ‘Continue’ 


5. The Visitor will be asked to take a selfie.


  • Press ‘Take Image’ 


6. Take the Image and select ‘Use Photo’

  • Press ‘Continue’


7. The Visitor will then search for the Department they are visiting or press SKIP.


  • Press ‘Done’


8. The Visitor will then fill out the room number or press SKIP.


  • If the Visitor Skips this information the Access Control Officer is responsible for adding it when printing the badge. 
  • Press ‘Done’


9. The Visitor will then be asked to type in their phone number.


  • Press ‘Continue’ 


10. Then the Visitor will then confirm their phone number.


  • Press ‘Confirm’


11. The Visitor experience is complete and all the information is sent to the Access Control Officer to be verified before printing. 

12. The Visitor will then hand their ID to the Access Control Officer to confirm the Visitors information and print their badge. 


13. The Access Control Officer will then see the Visitor in the queue on the Access Control station.


14. Once the Visitor is added to the queue the Access Control Officer will press ‘Select’ to print the Visitor badge.



15. The Visitors image and Patients name, room number, and the department they are visiting will open to print.

  • This is where the Access Control Officer will be prompted to add the room number, and department they are visiting. 
  • If the ID is expired it will flag the visitor on this page. 
  • Press ‘Print’ 






16. Once you press ‘Print’ the actual printed badge will print preview the badge before it prints. 


  • If the printer is not connected the Visitor information will stay in the Visitor column until the badge has been printed. 
  • If the printer is not connected to the Access Control station see printer instructions here


17. The printed badge will look like the following: 


  • The ‘FOLD UNDER’ tab is the self-expiring part of the badge which will need to be folded prior to giving the badge to the Visitor. 


18. Quick Prints


  • QuickPrints are for Minors and other areas of the facility that do not require the Visitor to check in and allow the Access Control Officer to quickly print a badge for that Visitor.
  • If there are more than one Visitors the ‘Print Quantity’ will allow the Access Control Officer to quickly add a quantity for any of the quick print settings. 
  • The QuickPrint settings are customizable per your requirements.
